What are Managed Print Services?


The managed print services (MPS) definition is broad, but the end result is simple: gaining visibility and control of your printing, which helps you save money and boost productivity. Managed print also helps you improve environmental sustainability and document security.


By “printing,” we mean the total cost of managing and optimizing your printers, their output, and the people and processes that support these devices. This includes:


  • Pages produced by office workers, mobile workers and production print operations
  • Office desktop printers, multifunction printers, copiers, scanners, fax machines
  • Materials sent out for quick printing, offset printing, mailing and distribution
  • IT help desk support, technical service, maintenance
  • Paper, ink, toner and other supplies and consumables

How it Works


The customer is our focus, not the machines. We know that you need documents to be produced to the right quality, within deadlines and with the right people at the right time. In line with this, our process is audit, assess, implement and manage.


This is free, because we want you to see how managed print will work for you. You have the chance to see who we are and we can gain a better understanding of your ethos and aims. Our trained consultant takes meter readings over a period of time previously agreed with you. Simplistically, he can calculate cost per page per printer, including paper and other consumables, and servicing.


We need to go on to understand in greater depth how your business works, so this phase relies on your agreement to share data and raise awareness amongst key personnel, which normally depends on senior executive approval. Obviously, such approval will only be given if our information is recognised as robust and reliable.


Once decisions are made and agreement reached, it is down to us to supply the technology and the service. Consideration will have included the transition stage, leading to full implementation. Cost savings will be evident from very early in this phase, and users will not suffer adverse impact, so often the case when going through change processes. Our aim is a smooth transition into full commissioning.


The imperative is to sustain performance levels throughout the life of the installations. In order to secure this, there will be a clear audit trail on each device as cost is tracked and the rationale transparent. All your requests will be handled professionally within our agreed response timescales. Any identified new requirements or changes will be clear, agreed and implemented.
